Travel Support - HDR Candidates Guidelines
Charles Sturt University is committed to providing travel grants to encourage and support travel for Higher Degree by Research (HDR) Candidates.
These grants can be applied for at any time during the year. Applications will be reviewed by the Sub-Dean Graduate Studies and approved or declined by the Dean of Graduate Studies. There is a limited amount of funds allocated per year, and therefore, grants will only be awarded if funding is available.
Faculty endorsed applications need to be submitted to the Graduate Studies Team at least six weeks in advance of the departure date. Grants can only be awarded for future travel. Grants cannot be sought to reimburse previous travel or travel costs already incurred by the applicant.
Successful applicants are required to book travel through the University Travel Office. Grant funds can only be used for travel expenses approved in a Charles Sturt University Travel Plan through the Charles Sturt University Travel Office.
Where actual costs of the travel exceed $1,000, the applicant is responsible for sourcing the balance of funding.
Any unspent funds from travel bookings will be returned to the Graduate Studies Team. If funding is not used within eight months of the successful grant approval, the grant will be forfeited.
Equity Travel Grant
This grant is open.
This Equity Grant is to support travel for Higher Degree by Research (HDR) Candidates for the following activities;
- data collection, including conducting interviews in a field location,
- travel to utilise equipment or resources not available at Charles Sturt University,
- access specialist archives, museums, libraries and galleries,
- travel for essential consultation with their supervisor(s).
Individual grants are limited to a maximum of $1,000. Candidates are only eligible for one Equity Travel Grant in each year of their candidature.
Eligibility
To be eligible applicants need to;
- be actively enrolled in a HDR course at Charles Sturt University at the time of travel (not on a leave of absence)
- have completed all probation requirements
- have satisfactorily completed all progress reports
- be within the period of maximum candidature at the time of travel
- demonstrate financial need e.g. geographical isolation, restricted access to other funding opportunities.
Candidates in receipt of a scholarship with operating funding will not normally be approved for funding unless exceptional circumstances can be demonstrated.
Application
To submit an application for the Equity Travel Grant please complete the Application for Travel Support Grant form and attach the following;
- a summary of the activity to be completed and the relevance to the current project
- a detailed budget
Conference Travel Grant
This grant is open.
The Conference Travel Grant provides financial assistance to HDR Candidates to attend an academic conference and present their work during the course of their candidature.
Individual grants are limited to a maximum of $1,000. Candidates are only eligible for one Conference Travel Grant during the course of their candidature.
Eligibility
To be eligible applicants are required to;
- be actively enrolled in a HDR course at Charles Sturt University at the time of travel (not on a leave of absence)
- have completed all probation requirements
- have satisfactorily completed all progress reports
- be within the period of maximum candidature at the time of travel
- be presenting a paper or poster that directly relates to the current project the candidate is undertaking as part of their HDR at Charles Sturt University.
Candidates in receipt of a scholarship with operating funding will not normally be approved for funding unless exceptional circumstances can be demonstrated.
Application
To submit an application for the Conference Travel Grant please complete the Application for Travel Support Grant form and attach the following:
- a summary of the details of the conference and the relevance to the current project
- a detailed budget
- a copy of the paper or poster presentation for delivery at the conference
- a copy of the conference program or confirmation from the conference organiser that you will be presenting.
You cannot apply for funding if you are presenting a paper or poster that you have not authored.
Funding will contribute to travel and conference registration fees only. It will not cover meals or private expenses.
